LL87 Client Outreach SOP

This ONLY works for clients who have done a job with us

  1. In Noloco, click on “Accounts” tab

  2. Proceed to “Filter LL87 Year”, type in current year (e.g., 2024,2025)

  3. This will filter out all the LL87 jobs needed by current clients for the calendar year you typed in.

  4. Click on export, open the .csv (Excel) file

  5. Search by Management Company- This is found in the column of “COMPANY ACCOUNT”- copy/paste the management company (or individual) and plug it into the Management Companies Tab on NoLoco.(Ex: “Trustworthy Realty”).

  6. If there is an Account Manager assigned to it, this is theirs.

  7. If no account manager is assigned, click on the company name.

  8. Once you are within the account profile, click on the “Projects” tab.

  9. Ensure that there is no LL87 for the current year under Projects and no proposal under “Proposals Tab”

  10. Once this is vetted, click on the “Buildings” Tab

  11. Scroll down to the header titled “Key Compliance Info”

  12. Scroll to the right, click on “LL87 Year”. This will place the list in chronological order. You will see which buildings are due for the current year (in this case 2024).

  13. There are two ways to contact the client: e-mail and telephone.

  14. Create an email template (or use one already created). Per the marketing team, it is best to include the building address in the header, along with whichever Local Law you are reaching out to them for (LL87, LL97, LL152, etc).

  15. Template can be as follows:

    Good afternoon/Good morning:

    I was reviewing your portfolio that we have on file from prior work we had done together, I noticed that your building located at:

    (Insert Building Address(es) Here) is in need of (insert LL service here, ex: LL87, LL152, etc)

    ALL of the reports need to be filed by December 31, 2024 (or corresponding year)

    If you have not had another company perform the inspection and filing for you, let me know and we would be more than happy to continue our business with you.

  16. Utilize follow-up technique

  17. You may also call the client, using the phone number found within the spreadsheet. Calls always tend to have a higher success rate due to being able to immediately engage with the client, as opposed to an email which may go unread or even into a spam folder.
